Test Drive Ricoh’s Documentmall Solution

For those who are interested in looking at a SAAS model for document management, Ricoh offers a service called Documentmall. Hosted in a secure data center and based on the EMC Docuentum platform, Documentmall provides a secure off-site document management platform.

Some of the features of this particular application are cabinet and folder based document structure, multiple layer document security on cabinets, groups and user levels. Optional workflow with GUI based workflow creation tools provides the ability to set routes with various options for approval. Ricoh also provides functionality on their MFP devices to securely scan documents directly into a Documentmall account, which can be a good solution for distributed capture solutions.

Another interesting function which I personally like is the various replication features. Ricoh provides a couple of replicator applications which all do basically the same thing. While running the replicator application, you can set mappings from your local file structure into your Documentmall account, and your files are replicated to Documentmall.

Ricoh currently offers a 30 day trial account which anyone can request. If you’re interested in looking into a SAAS model for your document management needs, you might want to sign up for an evaluation account and start to look at Ricoh’s offering. You can sign up at the following link:

New Jersey & The Two Party System "It Don't Work"

Being a life long resident of the state and now in my 50's, I can look back over the last 30 years and tell ya, the two party system in New Jersey and probably the rest of the country is flawed!! For over the last 30 years we've have a democrat or a republican and where has that gotten New Jerseyans? For starters, we have the highest property taxes in the nation, we are tops in road congestion and the largest employer in the State is the State of New Jersey!

Tell me, why do I have to pay 5 figure property taxes? What am I getting for my money, corruption both state and local, out of control spending, a broken down School Construction Corporation, 203,000 NJEA union members!!

The two party system is broke, and WE NEED to fix it. How, vote for neither the Republicans or the Democrats. Make a stand and vote for a 3rd party!!! Show the politicians that WE WON'T stand for this BS anymore.

Do I think that if a third party gets elected things will change? Well, no but, Republicans and Democrats will be put on notice the New Jerseyans are fed up with the corruption, scandals, spending, favors.

VOTE4NJ is to vote your conscious, vote for a difference, vote for the greatness of the State of New Jersey. It's a great place to live and work as long as the taxes don't kill you.

Let's face it, the three guys running for Governor are what??? They are people with a vision, people with Determination, people with Drive and people with Dedication right? I'll tell you what they also are, they are SALESPEOPLE!! Yes, they are selling you a message of vision, hope and better things to come. Some of the best salespeople can paint a picture like Michelangelo and it breathes VISION!!

The very best of the best SALESPEOPLE don't worry about the competition, and what they're touting this week, next week or next month. They stay focused on their vision and their message. I've been in sales along time and most everyone is turned off by the salesperson that attacks the other company, the product or even the other person selling the product.

So, why is it, that the two major parties are telling you what's wrong with the other guy? Basically it seems to me that they have nothing to stand on whether past or present, and if they did they would be painting a VISION of prosperity for New Jerseyans and not promoting doom and gloom if the "other guy" gets elected.

Would you buy from the salesperson who states "the other sales guy doesn't know his ass from a hole in the ground", or "their products don't work right"? Or would you consider the salesperson who tells you "we have the best ROI plan for you, we've laid it out for you to review", or "our products meets you needs and will help you generate productivity and savings in the long run".

Selling yourself is the key, not selling against the other guys. Super Salespeople pay attention to what the client needs, the clients problems and finds a solution that will the customer will benefit from.

So when looking at the race for Governor of NJ, I'll be going with the SALESPERSON that has the VISION to delivery!

From one fellow to New Jerseyan to another, it's time to stop the pain and blame game with our New Jersey Government!

What have the Democrats or Republicans done in the state of New Jersey for the last 20 years! Besides raising property taxes to the roof!! Blame and point the finger all you want, it's the officials that we keep re-electing thinking CHANGE will happen! Well, sorry to say, it WON'T with Christie or Corzine, two peas in a pod and both with heavy favors that they'll owe once they are elected!

What's the definition of an IDIOT? A person who keep doing the same thing over and over again!!

New Jerseyans for ONE TIME, get a set of BALLS and vote for neither Corzine or Chrsitie. From what I've read, DAGGETT has a plan in place (even if it is a tax plan, at least it's a plan), Corzine is so entrenched with tax and spend and Christie just doesn't strike me as a man who can change New Jersey.

Hey, NEW JERSEY needs to change and quickly, loss of jobs, loss of income, reduction of income, lower property values, etc...

I for one WANT TO LIVE IN NEW JERSEY!!! I DON'T WANT TO MOVE!

However if either Christie or Corzine is re-elected we've just sealed our fate for NO Change for another four years. Can your family afford another fours year of this??

This election can also send a message to the US that New Jersey will take the lead in moving away from the traditional republican or democrats who spend, and waste our tax money!!!

We need taxes to bail out the state, however there are some powerful unions in the state that need to chip in and do their part in helping the State of New Jersey!

Lower the cigarette tax, make it lower than NY and PA, and people will come here and buy more tobacco, how much revenue is lost to Delaware and PA!!!!
Legalize and create a Sin Tax for Marijuana (CA did it), and tax the hell out of it! Let's face it, if we don't find an alternate revenue stream we're sunk.
Legalize Slot machines in Horse Tracks
Legalize Sports betting

Some of you will say OMG, we can't do this or that, however, you tell me, how the heck NJ is going to get out of the hole for debt and property taxes. It's not possible without additional streams of revenue. Gotten a ticket lately for a broken light, tilted license plate, or something else that's a real pain in the butt, well that's the additional revenue stream for muni's.

CHANGE, CHANGE the way we think,, CHANGE the way we vote and CHANGE the way WE WANT OUR GOVERNMENT and have them ACT Financially Responsible!!!!!!!!

Law Firm Done With Paper

I picked this up this morning, this article goes into depth about a law firm that ditched paper by enaging with E-Copy and a Ricoh Multifunctional Device. Enjoy!

Linarducci & Butler is a busy small law firm, helping clients navigate through the Social Security disability benefit process. Our firm typically has 600 to 800 client cases open at any given time, and client folders for each claim have a minimum of 250 pages of paper -- including medical records and correspondence. It was not unusual in the past for our client files to grow to over 1,000 pages.

Over time, the document volumes from open and closed cases have placed a strain on our firm’s on-site filing system with the office reaching the point where we needed more space to store files. These document volumes also led to the costs associated with document storage becoming our firm’s largest monthly office expense.

But we had more than a document storage problem -- our firm also had a document access issue. Client folders contain information our attorneys and legal assistants need to access quickly in response to telephone inquiries from clients and the Social Security Administration. Too often, people would go to the file room and the folder they were looking for was not there. And this would trigger a time-consuming search around the office to locate the missing information.

As one possible solution for reducing the amount paper in the office, the firm looked into document scanning outsourcing for some files but found those services to be costly. Plus, we did not want to have client documents unavailable while out of the office for scanning in case the documents were needed to address an inquiry.

AUTOMATING PAPER-BOUND PROCESSES

To reduce the demands on the office filing system and gain faster, electronic access to client documents, we made a bold decision: our firm was going to scan incoming mail and faxes, route them using office e-mail and work electronically. The firm turned to eCopy ShareScan document imaging software operating on our network-attached Ricoh multifunction peripheral.

Now, all incoming mail and faxes are scanned and sent directly to electronic client folders using eCopy Quick Connect, software which provides an intuitive, menu-driven approach at the MFP to store documents in a specific file location on our network and, at the same time, capture the associated metadata (information about the document that helps us find it when we search).

Also, the document imaging software allows whoever is scanning to preview the scanned document at the MFP to check for quality. This capability not only improved document integrity but it also saves time wasted on going back to the desktop to review scan jobs and then needing to return to the MFP to rescan any errors.

To further accelerate the document capture process, we added eCopy Barcode Recognition Services to automatically separate and name each document when we scan a batch of documents all at once. A batch can be multiple pages of a medical record or client correspondence received into our office.

Before scanning, the user adds cover sheets with barcodes generated by our database to separate each document in the batch. Then, the document imaging software uses barcode recognition to automatically index the scanned documents to the appropriate client folder.

We found standing at the MFP scanning and naming documents to folders was time-consuming and error prone. By using barcode recognition services, we can give each document a meaningful name -- not a number -- which makes it easy to find the document.

We are also saving time by using barcodes. For instance, we cut the process for logging in and distributing our incoming mail by at least one hour every day.

MOVE TO A PAPERLESS OFFICE

When we looked at document scanning, we didn’t start with a paperless office strategy in mind from day one. Our top goal was to find a way to access more information, more quickly. Document imaging software helped us address that challenge -- and because it is so easy to use, we evolved in how we utilized the software and one day we realized we were paperless.

Our staff has welcomed the move to a paperless office because their volume of cases is easier to manage electronically. Now, they no longer need to worry about searching for missing files. And, for the first time, the firm is getting rid of filing cabinets and reclaiming office space.

Also, having the documents in electronic formats means multiple people can access and view the same document simultaneously -- as opposed to making additional paper copies.

Even our firm's senior partner -- who is like most attorneys -- a hoarder of paper -- has also embraced the change. Now, he can view the same information whether in the office or at home preparing for a hearing.

Clients have also embraced our paperless change. For clients that are PC-literate, we now return their case files back to them as PDF documents on a disc instead of stacks of paper. Our paper files that could easily grow into over 1,000 pages, now commonly have less than 25 pages total when the file is closed.

Managed Print Service for Printer Fleets?

The hype around Managed Print Services is deafening! Everyday I'm coming across information about how good it is to have a Managed Print Service Program, well..... it's great for the provider of the program and may or may not be right for every client.

I have no idea how many laser printers or inkjet printers are sold every year to commercial businesses. What I do see, is a multitude of printers in the commercial work place, in some businesses there is one for each employee!

1. Do I need a Managed Print Services Program for my Fleet of Printers? False.... What you need to do is eliminate most of these printers and strategically replace them with work group Multifunctional Systems or Multifunctional Devices (Same thing, a digital copier that will print scan, fax and copy). You will lower your cost per page, produce less paper, and increase productivity! The Office Equipment Dealers can then monitor page usage, supply levels, and service from a remote location. In essence they will manage your fleet of MFP's while reducing your cost per page and increasing your IT productivity. This will ease your pain!

2. Can I increase my IT departments productivity and save money? True (somewhat)... but you won't save as much if you eliminated the fleet of printers and went with MFP's. You could also stand to save a bundle buy reducing the energy needed for all those laser printers.

3. Can they really provide excellent service, provide parts and support for all my fleet of printers? True and False

False; especially if your fleet has multiple models from multiply manufacturers. In my 29 years in the field, I've only seen a handful of accounts that had printers from one manufacturer. Nine times out of ten, it's a hodgepodge of different models and different manufacturers. HP, Epson, Lexmark and the rest will not give tech support nor parts support to non-authorized resellers.

True; If all of your printers are from one manufacturer and the company that is offering the Print Managed Program is an authorized service provide, then they will be able to support these systems. The goal for the provider is to get their systems in place, and most likely when a printer fails they may replace it or sell you one that they can provide support for.

Basically, if you don't have the time to manage your printers and you can't replace them with MFP's, then you may be the right candidate for a MPS program. However, if you do your homework, you will have a greater return on your investment by eliminating printers. For some this may be a hard pill to swallow. But there are really some incredible print features that will take the printing pain away, such as secure print, locked print, print2mailbox, hold print, store and hold print.

Take the time to investigate what options are out there and don't jump at the first option that is proposed. Have an analysis done of who prints what, when they print, how much they print, and what types of media that is required. If you do that you'll be able to make the right choice.

There are so many reasons to not pay attention to the cost of producing and managing documents today. After all, with sales down dramatically and the economy horrible,
You just don’t have time to pay attention to things like ink and toner costs or how long it takes your HR department to locate a personnel file from 2 years ago. Never mind the fact that according to Gartner that it can cost up to 15% of a business’ total annual revenues to produce and manage documents. 15%!!!

Gartner has also stated that those companies that develop and implement a document management strategy can save up to 40% of those costs. So…if your company does $1,000,000 in revenue per year, not paying attention to how your company produces and manages documents can be costing you up to $60,000 per year…got your attention now? Erasable Paper Coming to a Store Near You!

It may sound the stuff of schoolboy spy games, along with invisible ink and newspaper eye holes, but erasable paper is a reality set to come to a workplace near you.

It’s a move that would appease the green lobby, as the ‘paperless office’ idea that has been so widely touted over the last 30 years increasingly looks like a myth. The average US office worker, for example, gets through 10,000 sheets of copier paper in a year.

What has changed, though, says Xerox, is the way we use paper – mostly for display rather than long-term storage. Much office paper is destined for the recycling bin in a startlingly quick turnaround time, at least 20 per cent of it the same day it was printed out.

This idea that has its roots in 1970s research into recycling computer memory housing unused data, and now Xerox Research Center of Canada and the Palo Alto Research Center, California, are joining forces on the project.

Xerox has filed a patent on the system for ‘photosensitive’ paper, which uses a similar technology to that which allows some sunglasses to darken in strong light.

Essentially, supplementary hardware is attached to a standard laser printer, and the system uses no toner. Instead, a blue UV-light emitting diode produces compounds which change colour when they absorb certain amounts of light. The result is a low-resolution document with printed information which disappears within 16 hours.

Increased exposure to light can make the information vanish more quickly, as can popping it back in the copier. After around 50 uses, the paper can be put in the recycling bin in the usual way.

It’s an especially eco-friendly invention since the system only uses 1,000 joules per sheet, or the same amount of energy as running a 60 watt lightbulb for 30 seconds. It can be used in a separate printer, or one combined with conventional printing. The innovation uses purple ink, and the paper is yellow so that it stands out.

Xerox is finalising the system and hopes its dream will be a reality in offices in the next couple of years and already their invention has been shown off at events like WIRED Next Fest, a showcase of global innovations. So far, the firm has also received warm feedback and strong interest in the project.

But, with Sony chasing a similar idea, and Japanese researchers at Ricoh having looked into this in the 1990s, Xerox will need to work hard and work fast before a competitor steals its thunder.

Below is a question that was posted on CNET. I took the time to answer the post on CNET. Here's the link for the entire thread small business multifunctional copier.

We would like to purchase a color/b&w copier for under $1000. Estimating 2500 b&W, 1000 color copies/day. We don't need alot of whistles just volume. Any suggestions. Also where can I find cost/page info for comparisons?

Here's the real scoop, if you get a machine for under $1,000, here's what you can expect based on your volume.

1. Color per page cost at .20 cents per page based on 20% coverage of the page. That means you'll spend $200 per month for color supplies!
2. Black per page cost at .03 cents per page based on 5% coverage of the page. That means you'll spend $75 per month for black supplies!
3. Within two years or less the machine will be worthless and probably be down more often for consumable supplies and maintenance than its running.
4. If this device could last 5 years you would spend $16,500 for a $1,000 system.
5. You would probably replace the system every year, because systems under a $1,000 are not built for that capacity.

Now here's what you should do:

1. Lease a larger machine ie: Ricoh mp c2550 for under $120 per month
2. Black per page cost is .015 with on-site service, means you'll spend $37.50 per month for supplies and maintenance.
3. Color per page cost is .10 or under with on-site service, means you'll spend $100 per month or less for supplies and maintenance.
4. System will be faster, have better reliability, plus add additional features which may stream line your business process.

Summary: That $1,000 system will cost you $275 per month in supplies only and will not last the year. In 12 months you'll need another, here you must also amortize the cost of the $1,000 system over 12 months which equals $83.33 per month. So your TCO (Total Cost of operation) is $358.33 per month. Moving to a larger unit such as the Ricoh MP C2550 your total monthly cost with supplies, on-site service and lease is $257.50. That's more than $130 per month in savings. Keep in mind that if your volume increases so do your costs. If your volume increases at 10% per year for 5 years your savings could be well over $300 per month.

Don't let the small investment price fool you, you need a larger system to meet your needs. Please also keep in mind that the cost per page for the Ricoh device may vary from dealer to dealer and geographical location, the cost per page is only an average of what I have seen in the industry for this device.

Okay, you just brought in a new client, great! It's smooth sailing from here. But stop for a moment and think, the proposal, the billing statements, the service records...those are all necessary and lord knows you need to keep records.
I have a question for you; have you ever thought of the cost of documents, and I just don't mean the cost to put the toner on the paper. Let's look at some statistics:

A recent study shows that it costs over $2,000 per year to maintain a single 5-drawer cabinet.

Oki Announces Price Busting Color 11x17 System

Oki Data Americas Tuesday unveiled the MC860 A3 color MFP series, a new set of A3 color multifunction printers Oki Data says are comparable in capability and price to many competitors' A4 printers.

"What we heard most was 'costs,' " said Mike Garofola, senior marketing manager for color products at Oki Data Americas, in a ChannelWeb briefing. "The size is a nice point as well, but people are looking for an affordable solution that allows them to bring an A3-type of device into their [infrastructure] and the consolidation that comes with not having multiple devices."

Oki Data's new MC860 A3 color MFP series is targeted at businesses seeking a color MFP that can provide both A3 and A4 capabilities. Among many features, the MC860 harnesses HD color technology (including 48-inch banner support); allows full print, copy, scan and fax capabilities; offers print/copy speeds of 26 ppm in color and 33 in monochrome; can scan to USB Flash Memory, PC, fax, FTP, folder and e-mail; and has a duty cycle of 75,000 pages.

The MC860 series comes in three models, including a desktop standing model starting at $3,999 (400-sheet paper capacity); a floor standing model with one tray and cabinet, starting at $4,459 (930-sheet paper capacity)' and a floor standing model with two trays and a cabinet, starting at $4,739 (1,460-sheet paper capacity).

"We do have other A3 color MFP series," Garofola said, "but before they were only sold exclusively through our BTA [business technology alliance] channel and are more of a copier-based product that competes with other copier-based MFPs. This is the first tabloid A3 color MFP we've really designed for the 'Comdex' channel."

The MC860 series MFPs will be made available at the end of January through all of Oki Data's North American channels. Oki Data is targeting the MFPs especially at medium workgroup users and space-reliant, cost-dependent verticals such as education, manufacturing, retail, finance and life sciences.

"Print has surpassed copying in terms of functionality, but people are also looking to have more affordable output," Garofola said. "They're doing a lot more scanning, for document management. And while faxing is the function that's used least, when you do need it you have to have it. From a legal standpoint, a fax is still a legal document as opposed to a scan, and still very viable."

Garofola said to expect additional MFP announcements from Oki Data later in the year.

This caught my eye today when skimming my google alerts. I had remembered that I saw this technology somewhere, I remembered it was on a scifi movie.

Can't remember the name, however these three or four astronauts were stuck on Mars, with no food, no water, no air and a robot that went bonkers on them. The one scene in the movie shows one astronaut unrolling a scroll with two ends and in the middle was a plastic film that held and image and you could change the image.

Scifi stuff always comes true, right.

How will the future touchscreen look like? What about the future paper? HP has an idea about that and more than that, it has a prototype. The e-paper display is said to use less power than the displays available today and, even better, it’s unbreakable. We don’t know when this screen will arrive but we’re sure anxious about using one. HP will surely continue its work with the Arizona State Flexible Display Center to improve the existing prototype.

Nowadays, many of us read or listen to the news on computers. But there are still some things one simply cannot do with a laptop or a PC -- like stuffing it into your bag or spreading it out on the breakfast table.

That may soon change as companies close in on one of technology's holy grails: a highly flexible computer display that one can roll up the way one would a newspaper or a magazine.
A team of Hewlett-Packard scientists showed off their version of that future one recent morning at HP Labs in Palo Alto, as they stood next to a machine about the size of a large refrigerator. Ironically, it looks very much like a scaled-down version of a typical web press used to print daily newspapers.

"That kind of electric paper is something we have argued about," he said. "There is a question as to what the market is for that kind of reusable paper. We know that people are spending hundreds of dollars for laptop displays or tablet-type computers. We know that people are buying very large displays to hang on their walls or to stand up in their homes. ...

"But the electronic paper is a totally new thing. It has to compete against the economy of real paper, which is quite inexpensive. The question is how much do people need that, versus how much are they going to look at things on their tablet PCs or their laptop or their home 60-inch screen."

Maybe, just maybe, we'll have no more paper! Everyone will have a fancy scroll and be able to write, doodle, draw download and upload images from anywhere.

Memjet, I've seen the videos and they are awesome, from the information below it seems Memjet will only make the componets for another manufacturer. At this time there is no info on what manufacturer will hold the keys to kingdom.

Ecopy Desktop & "Eric the Office Worker"

"Eric the Office Worker" is now working at Acme Buy. "Eric the Office Worker" is a Customer Sales Rep, and helps customers fulfill their orders as the customers visit the Acme Buy Showroom.

Eric has no clue there's a better way to reduce paper and save time. Eric's current workflow is that he will print a sales order form (pdf) in color from a local color printer, he will then hand write the order information for the customer, when Eric is finished he has the customer sign the order, process payment. From there Eric will make a copy of that order for him self, a copy for the customer and hand over the original to order processing. Order processing will then enter the order, make another copy to forward to accounting. At this point the order that "Eric the Office Worker" filled out has been copied three times.

Now, did I tell you how "Eric the Office Worker" has a small issue with handwriting, although he enters all of the information needed, on many occasions "Eric the Office Worker" 2's look like 7's and some of his script needs to be deciphered. So, order processing will call him back about the order and verbally go over the numbers or words that are in questions. At times, Eric the Office Worker has even added sticky notes to the order to draw attention to a question on a model number the color of a specific item. Did I tell you that sometimes the sticky note never makes it to order processing? The last sticky note was found hanging off of Sally's shoe as she was entering the lunch room.

Eric is not the only sales person at the office, there are 9 more and each has the same workflow. Order entry spends countless hours questioning handwriting, additional notes, and if the order is misplaced there are additional hours spent each and every month.

So, where is the solution for "Eric the office Worker"? Acme needs to simplify the process and reduce errors in order to increase profit.

Ecopy desktop to the rescue! Ecopy desktop would be installed on all of the pc's, in additional we would add 10 USB signature scanners to all of the sales people. Now, "Eric the Office Worker" will pull up the sales order, from there he will edit the pdf form with Ecopy Desktop, that's right he'll be able to type all of the information on the screen. Once the order is correct, he will than have the customer sign the USB scanner and then import the signature to the form. Once completed, he will print one for the customer, then email the sales form (by, the way if Eric, needs to add anything additional to the form, he can add a "sticky note" to the electronic document)to order entry. From there order entry will view the order, enter the order in the system (order entry can also add notes at this time). Order Entry then emails the form to Accounting. Accounting then creates and invoice and files sales order electronically.

Using Ecopy Desktop has just saved three printed pages, seeing that there are 10 sales people that makes 30 pages saved, and then four orders from each rep per day now saves 120 pages a day, they're open 7 days a week, so that's a total of 3,600 pieces of paper saved. Monthly paper savings is $25.20.

We've also saved 3,600 copies at .0125 per page, there's another $45 per month. However the true savings is in productivity, the office now saves more than 7 hours per month due to the reduced paper based workflow. Documents are now clean and easy to read, everyone can keep an electronic copy if they need to along with the not every having a lost sales order ever again. At an average cost of $21 per hour, the company has saved an additional $147 in productivity.

End result is a monthly savings of $217.20 per month, cost to have ecopy desktop (15 seats) and scanners (10 USB scanners) and consulting equals $145 per month. Net savings every month equals $71.31 and a customer forever.

ISO Page Yields

In December 2006, the International Organization for Standardization (ISO) body approved new standards for ink (ISO/IEC 24711) and color toner (ISO/IEC 19798) printer cartridge page yield measurements. These new standards complement the ISO/IEC 19752 yield standard for monochrome toner printer cartridges published in June 2004.

The new ISO standards for ink and color toner cartridge yields clearly define the key attributes that affect yield and apply robust statistical analysis so all manufacturers can utilize the same methodology when measuring yield. Until now, printer manufacturers have not been able to use a uniform methodology to measure cartridge yields.

What is page yield?

Page yield is the total number of pages that can be printed with a print cartridge. Until now, printer manufacturers have used a variety of methodologies to measure cartridge yields, making it challenging for you to accurately compare brands. That's why Lexmark, along with other printer manufacturers worked in conjunction with the ISO to create new standards for measuring page yield. On December 13, 2006, the ISO approved the new standard for inkjet (ISO)/IEC 24711) and color toner (ISO/IEC 19798) printer cartridge page yield measurements. These new standards compliment the ISO/IEC 19752 yield standard for monochrome toner cartridges published in June 2004.

Why are page yield standards important?

These page yield standards will help you make more informed purchase decisions by objectively and accurately evaluating print cartridge yields. The new ISO standards for inkjet and toner cartridge yields clearly define the key attributes that affect page yield and apply robust statistical analysis so all manufacturers can utilize the same methodology when measuring yield.

How are the tests performed?

The ISO/IEC 24711 and 19798 specifications stipulate that page yield is determined using a standard suite, printed in a controlled environment, with printer default settings. Because the printer environment can affect page yield, the testing environment is controlled at a temperature of 23.0C +/- 2.0C.

The test suite, specified in ISO/IEC 24712, is designed to work with either A4 or 8.5x11" paper. The suite is a PDF file consisting of four typical customer pages and one diagnostic page is to be printed using the most recent version of a PDF reader.

How many cartridges and printers are used in the testing?

A minimum of nine cartridges or cartridge sets are tested until they reach end of life. This allows reliable estimates of the average predicted yield within statistically defined boundaries. The standards recommend attaining cartridges from a variety of manufacturing dates and locations for testing.

A minimum of three cartridge sets are tested on three different printers to avoid bias due to printer variability. An equal number of cartridge sets are run on each printer.

Why are page yields listed as a cartridge and printer system?
ISO page yields are always listed as a cartridge and a printer system. Listing the page yields as a system best reflects the differences between printer speeds, color tables, maintenance routines, and firing frequencies in various printer models.

How are page yields calculated?
The reported ISO page yield must be at or below the lower 90% confidence interval of the mean. If there are 9 cartridges tested, the maximum ISO page yield is calculated as follows: ISO Page Yield = Average page yield - (1.86 * (std dev of page yield / 3))

Why isn't there a page yield listed for my specific printer?
Lexmark will publish ISO page yields for all future announced products.

How does this standard translate into 4x6" photos?
The ISO/IEC 24712 print suite is specified for A4 or 8.5x11" paper. There is currently no ISO page yield specifications associated with 4x6 prints. There is a new ISO committee that is starting to address this issue. It is estimated that the 4x6 page yield specification will be ratified in 2008 or 2009.

Here's an article I ran across on the web, the article details reducing carbon foot prints of hardware along with saving enormous amount sof electricty. More over it mentions that they replaced all of thier stand alone copiers, faxes, printers and scanners with multifunctional devices. (Art)

IN the space of one year, The Fiji Times Limited cut back the amount of electricity it used by around 25 per cent. This came off the back of sustained implementation of the principles of its 1 Degree environmental program over the year to June 2008. The savings in electricity consumption translated into a 17.4 per cent smaller bill over the year to June 2008 compared to the previous year.

A large part of the success of the program has been because of staff involvement in helping save energy to save the environment. "It's a great win for every person who works here who have taken the time to switch off lights, computer terminals and air-conditioning units whenever these are not in use," said Fiji Times editor-in-chief Netani Rika.

The company also created an internal Carbon Council, driven by volunteers who consulted, collated and helped introduce new technology, ideas and initiatives to help the environment.
In its Suva headquarters, the biggest results were generated with a 25.8 percent fall in electricity consumption, which generated a 17.3 percent saving in costs. Its Lautoka office had an 8.36 per cent reduction in consumption, which translated into a 21.1 per cent saving in electricity costs. And while expansion of the Labasa bureau saw a 3.98 per cent increase in the amount of electricity used, this still saw an 8.5 per cent fall in costs.

The dramatic falls in electricity consumption proved that with a bit of effort, many people can help generate dramatic results, Mr Rika said. He said The Fiji Times wanted to lead by example, and was keen to ensure that more people embraced 1 Degree principles to help save the environment. "Together we can make a big difference to the type of environmental future we choose to have," he said.

1 Degree was launched in Fiji on June 25, 2007, with the goal of helping empower individuals, staff, families, and communities to take charge of the climate change issue and by doing so, change Fiji's collective future.

"Everything from the electricity we use, to the fuel in our cars, the carbon impacts of air travel, the heating and cooling of our buildings and the way we handle our waste and recycling affects what sort of carbon footprint we leave on our planet and what sort of impact we will have on global warming," the company says.

The Fiji Times, the nation's oldest newspaper, started its campaign to become carbon neutral by 2010 with an audit of power use. It recognised technological solutions such as the need to replace any CRT computer monitors with low energy LCD panels. Low energy LCD panels use 75 percent less power than CRT computer monitors.

It also replaced fluorescent tubes with "greener" triphospher lighting and put multi-function units in place of power-hungry stand-alone printers, faxes and copiers. By consolidating servers, printers and copiers, the company was able to cut the costs to run them by around 50 per cent.
Some of the measures the company is looking at over the following year are lighting timers for common areas and "green" cars including those run on electricity and bio-diesel.

Over the year to June 2008, the company cut its carbon footprint with various measures including minimising the use of urns and replacing them with kettles where possible, recycling paper that has been used on one side only.

Print Audit Green for "Eric the Office Worker"

So, you just bought a shiny new Color "Green" MFP. You know the system, your salesperson touted the "Green" features such as default auto off, default power save mode, default duplex copying, the small carbon foot print and scan2distribute.

So, what good is all of this if you can't control printing? Did you know that the average employee prints 34 pages a day and 17% of those pages are never used?

Do you think that "Eric the Office Worker" knows the cost per page of every MFP and printer in the office? What stops "Eric the Office Worker" from printing a 50 page color report to an ink jet printer (that can have a per page cost as high as 60 cents a page), just because he did not want to walk to the Color MFP that prints at .08 cents per page. Well, the idea of "Eric the Office Worker" not taking the short walk just cost you an extra $26 from one employee. Think of the abuse when you have 50 employees and this happens more than once a day.

Rules based printing, what does this mean to "Eric the Office Worker", well the next time "Eric the Office Worker" prints a report he will get a pop up alert on his pc that directs him to print green to this device (meaning the device with the lowest per page cost). Plus the fact that all of management will know when and where "Eric the Office Worker" is printing. So, if "Eric the Office Worker" does not print responsibly he could have a new "Green" job cutting the grass around the office!

Who woulda thunk that 10-22-38 Astoria would go down in history. Just yesterday Xerography celebrated it's 70th anniversary. I can remember my first technicians class where we learned f Chester A. Carlson' Invention. Here's the history of Chester, Haliod and Xerox.

History of The Copier

Chester Carlson, the inventor of photocopying was originally a part time researcher, inventor and patent attorney. His job at the patent office in New York required him to make a large number of copies of important documents. Carlson started to find that this became a painful and tiresome procedure. This encouraged him to carry out experiments with photoconductivity and electro photography in 1938.

Carlson made history when he created the first "photocopy" using a zinc plate, covered with sulphur. He used a microscope slide with the words "10-22-38 Astoria" written on it. He placed the slide on top of more sulphur and under a bright light. After the slide was removed, a mirror image of the words remained.

Carlson tried to sell his invention to a number of companies, but he failed because the process was still underdeveloped and multiple copies were made using carbon paper or duplicating machines, and people didn’t feel the need for an electronic machine. Between 1939 and 1944, Carlson was turned down by over twenty companies, including IBM and GE. They believed that there was no major market for the technology.

In 1944 a non-profit organization called Battelle Memorial Institute, signed up with Carlson to improve the process of electro photography. In 1947, a small New York photographic paper company called Haloid approached Battelle and obtained a license to try and develop a new market based on the technology. While Haloid and Carlson were working on the development, they decided that the phrase "electro photography" was too mind blowing and didn’t have a good remembrance value, so they consulted a classical language professor at Ohio State University and later changed the name to Xerography, which meant "dry writing" in Greek. Haloid called the new copier machines Xerox, which were later trademarked in 1948.

Xerox introduced the first xerographic copier in 1949 which became so successful that photocopying became popularly known as Xeroxing. As the technology started developing, a new process of copying was discovered, which produced a copy of an electrostatic image by transferring a drum and a plastic powder called toner onto paper by being heated and fused. During the extensive adoption of the xerographic copier technology, Kodak's Verifax photo-direct copy machines were being used.

In 1969 Verifax prints required supplies costing 0.15 dollars, where Xerox prints could be made for 0.03 dollars including paper and labour. At that period, thermo fax photocopying machines where very popular in libraries and resource centres. The minimum wage for a US worker was 1.65 dollars and thermo fax photocopying machines produced letter-sized copies for around 0.25 dollars. Xerographic copier manufacturers took advantage of the high perceived value situation and by the early 1970s they marketed specially designed paper for only xerographic productivity. By the end of the 1970s the xerographic procedure was one of the known requirements for most paper producers and office paper brands.

In the 1980s, Xerox’s ability developed into allowing colour photocopies to be made. Around this time, some copier machines started to be replaced from the older drum-based procedure to a new technology using a transfer film or an inkjet. They also gradually become more advanced by being able to use untreated plain office paper for copying. As the copier technology progressed further, photocopiers were capable of printing duplex, two sided documents and the ability to sort and staple documents.In recent years, photocopiers have replaced the older analogue process to the latest digital technology.

With digital copying, copiers now effectively include a laser printer with an integrated scanner. This provides the copier with many capabilities such as automatic image quality enhancement and the ability to scan documents while printing them independently. Several digital copiers can function as high-speed scanners and can send documents via email or to a local network. When copying a set of twenty pages twenty times, a digital copier scans each page only once and then uses the stored information to produce twenty sets. This process is called automatic digital collation and is one of the greatest advantages of digital copiers. When trying to do the same with an analogue copier, each page will need to be scanned twenty times, which will generate one set at a time, or by alternatively using twenty separate output trays for the twenty sets.

Low-end copiers also use digital technology and tend to consist of an ordinary scanner with an inkjet or a relatively inexpensive laser printer. These are much slower than a technical sophisticated office machine, but they are built in at a lower cost. Some low-end copiers also provide all-in-one solutions allowing colour copying combined with a printer and fax machine which is a great advantage for someone with a low budget.

Coloured toner became available in the 1950s, however full colour copier machines were not commercially available until 3M released the Color-in-Color copier in 1968. The Color-in-Color copier used a dye sublimation process instead of the previous electrostatic technology, although the first electrostatic colour copier became available when Canon released it in 1973.

Former Mount Vernon Purchasing Agent Convicted of Aceepting bribe from Ricoh Americas Corp

We at the Ricoh Family Group P4P Hotel have followed this closely and posted many comments, since it hits so close to home. A former head of purchasing for Mount Vernon School District has been convicted for accepting bribes, below is the press release from the local Mount Vernon paper. I don't know the law, but I feel that the sales rep and Ricoh Americas Corp should also be held accoutable for offering the bribe, right??

WHITE PLAINS – The former head of purchasing for the Mount Vernon City School District was convicted Friday of bribe receiving, official misconduct and receiving unlawful gratuities.Arthur Rose, 49, of Mount Vernon, was convicted in Westchester County Court on two counts of bribe receiving as felonies, three counts of official misconduct as misdemeanors and one count of receiving unlawful gratuities as a misdemeanor.

Between mid-June and mid-July 2005, rose, the former head of purchasing at the school district, accepted a bribe of $3,500 from a sales representative of Ricoh Americans Corporation for his assurance that the company would receive a five year contract from the district for 73 digital copiers, support products and related services.On August 3, 2005, based on Rose’s recommendation, the school district gave Ricoh the contract which exceeded $1 million.

Between June and September 2006, Rose solicited and received a bribe in the form of a $10,000 donation to his church from the owner of Tri-State Supply Company, a custodial supply company, in exchange for future business, which was later awarded.When sentenced, Rose faces up to seven years in state prison.

Ricoh Launches New A4 Color MFP

Awesome, to say the least, I haven't been very patient waiting to have our own A4 devices. To tell you the truth I would have been satisfied with monochrome devices, however to have three different COLOR models the MPC2030, MPC2050 (20ppm) and MPC2550 (25ppm) is a stunning addition to the Ricoh lineup of MFP's!!!

Here's a few specs for ya:

An internal finisher with optional 2/3 hole punch
Standard duplexing at nearly 100% of mainframe speed.
Scan to email (w/LDAP), scan to folder (SMB, FTP, NCP), Network TWAIN and Scan to Media (USB/SD Card)
Full color VGA/touch panel monitor

Super G3 fax modem with JBIG compression, LAN fax, Internet Fax and auto Fax Forwarding to email/folder

These systems are slated launch on December 1, 0f 2008. I'm hoping that these do not have AIO devices and they are similar to all of our other MFP's when it comes to toner cartridges and drum cartridges. I really like the internal finisher, the 2/3 hole punch and the fact that we can scan2usb and SD card. At first glance it seems like the Document Feeder is from the MP161SPF, you can also pick out the USB Slot on the left side of the system.

As of right now I do not have any reports of the MSRP or the estimated CPP. More on this in a few days!!!!

Wide Format Stacker Increases Productivity!

Do you have the blueprint(blackline)copying or printing blues?

What's the biggest issue with the low volume multifunctional wide format systems?

The Ricoh, KIP and Xerox are all fine systems, especially the Ricoh 240W, 2470 and W2400 (Ricoh has two outputs paths for prints and copies, while the Kip3000/3100 and the Xerox 6204 only have one output.

So, what's needed in order to have uninterrupted printing or copying?

Tameran Corporation offers such a device, the SureStak300 or SureStak1000.

I have a few of these in current accounts and can attest that the systems work day in and day out. The systems are also constructed to last probably longer than the wide format system you bought or leased.

These systems were designed to streamline workflow and increase productivity in the office. Each of these systems will accommodate "A" thru "E" size, along with 300 pages for the SureStak 300 and 1,000 pages of output for the SureStak1000. Eliminate awkward retrieval of large documents from the floor or the inadequate output trays. Having prints fall on the floor or getting jammed is not efficient and too much time is wasted.

Muratec 4550 "The Biggest Little MFP"!

Well, sold another one of these today a Muratec MFX 4550, and another A3 system bites the dust!

I'm so impressed with this system from the ability to faxforward2email as a pdf, the speed of the unit @ 45 pages per minute and the sleek touch screen. The Muratec 4550 does have a few cool features also, such as the ID copy that allows for seem less copying of divers licenses and Medical ID cards. This feature is great for those in the insurance and medical industry. The system will copy the front side, hold the image in memory and then you flip the card on the glass and what you get is a copy of both sides of the card on the one side of the paper. No need to refeed the paper or make wasted copies trying to figure out where to place the card! One more thing to add, copy and print quality is AWESOME!

Each paper cassette can hold 520 sheets, such a plus when compared to 500 sheet cassettes or 250 sheet cassettes. Document Feeder is good for 50 originals and will recirculated for auto two sided copying. I have also have had some time to work with the print drivers and find them easy to use and very productive. You can send documents from the PC and store them on the hard drive of the 4550, great for forms, spec sheets, and address book management.

As of right now, I think I have ten of these Muratec MFX4550's in the field (8 of them replaced A3 systems) and all of the are performing like champs while running 5,000 to 10,000 pages per month.

My belief is A4 machines will take the market by storm, there is already talk of a 75pp and a 95 ppm device being released by the first quarter of 2009. These devices will lower your ongoing lease costs and not affect print or copy productivity~~~~

This is very usefull and I for one have always left my cell phone charger plugged it, as a matter of fact I may have three or four of them plugged in around the house! Shame on Me! Enjoy!

If you have a cellphone, have you ever noticed that your charger stays warm even when you are not charging your phone with it? That's because it is still draining electricity. "According to Future Forests, only 5% of the power drawn by cell phone chargers are actually used to charge phones. The other 95% is wasted when you leave it plugged into the wall, but not into your phone.

Okidata 3641 Color MFP "Print Shop in A Box"

Can't be, Naw one system can't be everything to a Print Shop right? Well, the Okidata 3641 foots the bill and it's a "Print Shop in A Box"!

I recently had this system on a demonstration with the Oki3641 at a local P4P (Print4Pay) Account in New Jersey. The customer has an older Ricoh 6513 (fiery) and a Canon 3220 (fiery). Our customer was actually using both of these units for color output the 3220 for speed and the 6513 for thick stock and high quality. Well, the oki3641 performed awesome! From thick stock (170lb index) to gloss stock and a stock I've never seen before, the stock was very thick and is stock that artist use to paint watercolors. The quality of color was awesome on all stocks.

Color was consistent from page one to five hundred, feeding different stocks was not and issue. A couple of outstanding features is that the iko will take 13x19 paper through the by-pass, plus it has a pull down exit tray that allows thick stock to come out flat and not curl (just what the doctor order).

The end is that the customer can eliminate the Ricoh and the Canon and just rely on the Oki3641 for all of his color requirements! Listed below is a few bullet points about the Oki3641.

• Has a high duty cycle, rated at 150,000 per month. Although I have it in applications that run 50,000 color prints per month with out issue.
• All toners, drums and maintenance kits can be changed by the end user. This leads to less down time.
• The color output is spectacular. Rivals anything on the market under $50K. The retail on this unit is $19,000.
• Uses micro-fine spherical toner to get high quality output.
• Can handle 12/18 out of each of the 4 draws. Up to 110lb index in the draws.

• Have seen some applications where a book binder is doing 5,000 sheet runs of cloth sheets thru the multipurpose tray. This does lead to premature wear of drums and fuser, however the output looks great.
• Since the 3641 is versatile, dealers usually place it in accounts that there main copier line is giving them trouble. Most of the time the 3641 is able to solve the issue and save the account.
• Some dealers are attaching a 1,000 sheet envelope feeder to the 3641 and marketing it with variable data software for envelope printing. This is an untapped market, where there is a lot of interest in print for pay.
• Comes standard with Fiery. Uses the latest OS from Fiery system 8, which allows the end user to customize properties screen in the print application.
• The Oki 3641 Fiery comes standard with Spot-on, Hot Folders, Auto trapping, Variable data printing.
• Has Send-me built in. This is Fiery’s version of e-copy. Send me is the front end of a document management system.
• You can add an OCR connector to Send-Me and it will allow you to do OCR at the machine. This saves on licensing fees. In addition it gives you search able PDF documents and a hidden text layer.
• It also copies. Although it does not have program keys, and First Copy Out Time is about 9 sec. It can be used in walk up copy environments.

Xerox Invents Reusable Paper that Uses UV Light for "Ink"

Now this is really cool, and makes sense. Which leads me to a few questions:

How much will I glow at night from using the paper and printer?

(NaturalNews) Xerox subsidiary Palo Alto Research Center (PARC) has developed a type of paper that, combined with a special printer, can print documents that erase themselves after a day so that the paper can be reused.

Xerox says that 25 percent of all documents get recycled the same day they are printed, and that 44.5 percent are intended only for a single viewing. Using the new printer and paper for one-shot documents like daily menus, work summaries and office memos could vastly reduce paper and energy use, the company said.

"Think of the Google map you printed to get here," PARC Area Manager Eric Shrader said at a product demonstration. "Thirty years ago, we said the future was paperless."

"Despite our reliance on computers to share and process information, there is still a strong dependence on the printed page for reading and absorbing content," said Paul Smith, manager of Xerox's new materials design and synthesis lab.

The new paper is coated with a chemical that turns dark upon exposure to ultraviolet (UV) radiation. In order to create a document, the printer simply bombards the paper with UV radiation in the appropriate places.

While the "ink" will eventually fade on its own, after 16 to 24 hours, the printer can also be used to erase a page and print something new. Tests by Xerox found that if it was not torn or crumpled, a single piece of paper could be put through the print-and-erase cycle hundreds of times.

According to Shrader, it takes 204,000 joules of energy to create a new piece of paper and 114,000 to recycle one. Printing onto a normal sheet of paper uses about 2,000 joules.

It takes only 100 joules to print one page of the special erasable paper. If the printer also has to erase the prior image, printing uses about 1,000 joules of energy.

The erasable paper and ink are available in a variety of colors. Xerox expects to take the new product commercial within the next few years.

Decesion Making for the Right MFP!

The following features will help you decide which is the right All in One Printer for you:

Speed: Pages per minute(ppm) is the average speed printing black and white pages only. Since color images need to be scanned thoroughly and printed differently, they tend to take longer than black and white copies.

Resolution: Resolutions is measured in dots per inch - the more dots, the finer the resolution of the text or image. As images are more complex to copy than text, image resolution can be different than the text resolution. RAM: Or buffer memory holds the graphic information on its way to be printed. The larger the buffer memory, the faster the printer can print complex graphics.

Parallel Port: An Interface cables is typically used for two way communication between the printer and the PC, usually they aren't included with printers.

USB Port: Or Universal Serial Bus Ports are a different and new way to connect printer and Computer. USB ports allow more than one external devices connected to the same port, to the computer. Not only are they easier to install they transfer data much faster than the parallel or serial ports.

Fax Forwarding: This feature automatically forwards received faxes to another number programmed.

Fax Page Memory: A larger memory allows you to leave the fax machine unattended for a longer period of time. It keeps recently received faxes in memory if the fax machine runs out of paper. After refilling the paper for the fax, it then prints out the faxes that were stored.

Automatic Document Feeder(ADF): ADF is convenient as you don't have to feed each page by hand. A large feeder has a number of pages and hence is more appropriate for long documents as it is not required to be reloaded soon.

Who Should I Buy from an Authorized Dealer or Direct Branch?

Sneakers, Software, Computers, and Clothes all good things to buy via the Internet. Pre-Owned and used copiers....not a good thing to buy over the Internet.

In my 28 years in the business, copy machines are service intensive machines, whether they are analog or digital, they need a qualified service engineer in order to service them correctly and keep them running. Without getting very technical and I could, but its late on Sunday and I'll need some down time later. I'll list a few reason why you should not buy used, pre-owned or off lease copy machines over the Internet.

1. There is no "car fax" for copy machines, you have no idea who serviced the unit, how qualified the service engineers were, if the machine was in a flood, dropped, re boxed or if the factory updates were ever performed. This alone should be enough to scare you away.

2. How will it be shipped? Copy Machines are very susceptible to bent frames, broken covers, trays and displays when not shipped properly. Do you want to go through the hassle of an insurance claim if the copier arrives damaged?

3. Who will service this beauty that has very low volume and grandma only used it to make a few copies a week. Are there reliable service engineers in your area that are Authorized to make repairs? You could have everything go right and the copy machine is perfect, however your local service company does not know how to fix it, or they will take three days be on site or maybe the closed Authorized Dealer is 150 miles or more away!

4. Who will assist with all of advanced functionality of the unit? Are you prepared to spend hours on the Internet searching for manuals, software and drivers?

5. When the machine arrives are you prepared to pay for someone to install the unit or train your staff how to use the system?

6. Meters on copy machines, if they can be turned back on cars, they can also be turned back on copy machines. Are you willing to take that risk and get a machine that has a million pages on it, when you thought the meter was 100,000 pages?

Who Should I Buy from an Authorized Dealer or Direct Branch?

Hmmmmm, should I choose Column A or Column B?

Many years ago you could only buy Copiers from Authorized Dealers. An Authorized Dealer is a privately owned company that is local to your geographic area. A Direct Branch is owned by the manufacturer and may or may not be local to your geographic area.

For many years the debate has raged who should I buy from. Too me it plain and simple, you should buy from the company that has the best support, the best people, the company that offers more than one manufacturers solutions and the company that change on a dime when your needs change.

Typically you should ask some key questions from your sales person or your service person.
Ask the sales person how long they have worked with their current company. A sales person who has less than 2 years experience may not have the resources nor the knowledge to meet your needs.

1. Ask about the the tenure of their service personnel and if you will see the same service technician. Having an experienced service person and the same person servicing the machine is important to quality work and troubleshooting. A company that send inexperienced service reps and multiple reps to the same machine is mot what you want. Too many chefs can spoil the soup and is true with copiers.

2 Ask how long they have been in business. A couple of years may not be what you are looking for, today's machines are highly evolved from yesterdays, go with a company that has a proven track record.

3. Ask if they carry multiple solutions from different manufacturers. No one manufacturer can be everything to everyone. Authorized Dealers will have multiple solutions from multiple manufacturers. While direct branches will only sell their solutions.

4. Ask them how long it takes for a service rep to be on-site and then ask for some references. Doing the research before hand will save you time.

5. Get a copy of the sales contract and service contract to review before you sign, a wishy washy document that was created in a word document is NOT THE CONTRACT! The contract will have many clauses to protect the Direct Branch and allow them to charge you extra for supplies, fuel surcharges and more!

6. Do you really want to buy from someone who offers the lowest price? Ask yourself, what are you sacrificing when you buy solely on the lowest price? Will it be the service, the training, or the support years down the road.

Typically, Independent Authorized Dealers have longevity with their customers, sales people, service staff and technicians. Typically, Direct Branches have the higher turnover with sales people, service staff, technicians and clients.

Now some of you who know me may say that I work for a Dealer and he doesn't know the other side. That's true, I have only worked for a Dealer and never a Direct Branch. My problem is that with 27 years in the business I don't know one rep who has more than 6 years with a Direct Branch while on the other hand I know 40 or more with Dealers who have over ten years with the same Dealer (they must be doing something right). Plus, why is it, that I will get new service accounts from the Direct Branch and I don't lose any to them.

The end result is most Direct Branches (mind you there are a few excellent Direct Branches out there) are out there to capture market share for the manufacturer. They have a high turnover of sales people and support people. Since they have NO "Value" to sell, they typically sell on price. What is "Value"? It could be a number of items, the value of support after the sale, the value of competent support staff to conduct on-site training, the value of troubleshooting a problem and finding a solution. The value of providing the right solution at the right time.
Some of you may be located where there is not a choice between an established Dealer or a Direct Branch, just follow that you should buy from a company that has the best support, the best people and the company that can offer more than one manufacturers and a company that can change on a dime when your needs change.

We all want a good price, however a cheap price is long forgotten after poor service!

In simple terms, a searchable PDF is an image (picture) containing the “text” in a layer (usually behind the image and not visible). A scanned document (PDF as image format) is NOT searchable until an OCR (optical character recognition) process is performed on the document. Some scanning hardware can deliver a searchable PDF (the OCR process is performed during the delivery process). A searchable PDF can also be created by PDF distiller software. This process “converts” a digitized file, such as a MS Word document, to a PDF format. Because the original document was digitized (contains text), the OCR process is not required and a searchable PDF is rendered. An easy way to determine if a PDF is searchable is to open the document with Adobe Reader or Acrobat and perform a “find” function. If the found “text” is highlighted, the document is a searchable PDF.

Benefits of a “searchable” PDF-
Searchable PDF’s are very useful for retrieving documents from a document Repository (full content management) and useful to find the location of a word (s) within the document.
Adobe Systems provides a free downloadable tool known as an iFilter. The iFilter provides a link between the “text” layer of the searchable PDF and an “indexing” engine. This connection provides for retrieval of the document by any word(s) contained in the “text” layer or in the metadata (Title, Subject, Author, Keywords) of a PDF. Indexing engines include:
A) The catalog feature of Adobe Acrobat- very powerful engine which provides advanced searching functionality.
B) MS Indexing Services- an “index” maintained at the server level with “load” processing options built into MS server platforms. Note: this application has an unlimited user retrieval tool that leverages this free MS service.
C) MS Desktop Search- a free, downloadable MS powerful tool that maintains an “index” on the desktop of either desktop files, server files or both.
D) MS Sharepoint- searchable PDF’s can be retrieved with the built-in query tool.
E) Other DMS- most document management systems can retrieve searchable PDF’s.

The requirements are:
1) A full license of TOCR (the OCR engine)
2) The “captured” document should be a Group 3 or IV B/W tif.

There are two components that are used to create “searchable” Pdf’sOCR Processor must be set as Full Page; however, you may OCR All pages, the first page, or identify the pages to OCR.
