Survey Results about Scanning


- Results of a recent survey conducted by AIIM regarding implementation of scanning and document management:
- 40% report a return on investment within 12 months

Test Drive Ricoh’s Documentmall Solution

For those who are interested in looking at a SAAS model for document management, Ricoh offers a service called Documentmall. Hosted in a secure data center and based on the EMC Docuentum platform, Documentmall provides a secure off-site document management platform.

Some of the features of this particular application are cabinet and folder based document structure, multiple layer document security on cabinets, groups and user levels. Optional workflow with GUI based workflow creation tools provides the ability to set routes with various options for approval. Ricoh also provides functionality on their MFP devices to securely scan documents directly into a Documentmall account, which can be a good solution for distributed capture solutions.

Another interesting function which I personally like is the various replication features. Ricoh provides a couple of replicator applications which all do basically the same thing. While running the replicator application, you can set mappings from your local file structure into your Documentmall account, and your files are replicated to Documentmall.

Republicans and Democrats

New Jersey & The Two Party System "It Don't Work"


Being a life long resident of the state and now in my 50's, I can look back over the last 30 years and tell ya, the two party system in New Jersey and probably the rest of the country is flawed!! For over the last 30 years we've have a democrat or a republican and where has that gotten New Jerseyans? For starters, we have the highest property taxes in the nation, we are tops in road congestion and the largest employer in the State is the State of New Jersey!

Tell me, why do I have to pay 5 figure property taxes? What am I getting for my money, corruption both state and local, out of control spending, a broken down School Construction Corporation, 203,000 NJEA union members!!

The two party system is broke, and WE NEED to fix it. How, vote for neither the Republicans or the Democrats. Make a stand and vote for a 3rd party!!! Show the politicians that WE WON'T stand for this BS anymore.

Do I think that if a third party gets elected things will change? Well, no but, Republicans and Democrats will be put on notice the New Jerseyans are fed up with the corruption, scandals, spending, favors.

VOTE4NJ is to vote your conscious, vote for a difference, vote for the greatness of the State of New Jersey. It's a great place to live and work as long as the taxes don't kill you.

New Jersey Home of Negative Campaigning


Let's face it, the three guys running for Governor are what??? They are people with a vision, people with Determination, people with Drive and people with Dedication right? I'll tell you what they also are, they are SALESPEOPLE!! Yes, they are selling you a message of vision, hope and better things to come. Some of the best salespeople can paint a picture like Michelangelo and it breathes VISION!!

The very best of the best SALESPEOPLE don't worry about the competition, and what they're touting this week, next week or next month. They stay focused on their vision and their message. I've been in sales along time and most everyone is turned off by the salesperson that attacks the other company, the product or even the other person selling the product.

So, why is it, that the two major parties are telling you what's wrong with the other guy? Basically it seems to me that they have nothing to stand on whether past or present, and if they did they would be painting a VISION of prosperity for New Jerseyans and not promoting doom and gloom if the "other guy" gets elected.

Would you buy from the salesperson who states "the other sales guy doesn't know his ass from a hole in the ground", or "their products don't work right"? Or would you consider the salesperson who tells you "we have the best ROI plan for you, we've laid it out for you to review", or "our products meets you needs and will help you generate productivity and savings in the long run".

Selling yourself is the key, not selling against the other guys. Super Salespeople pay attention to what the client needs, the clients problems and finds a solution that will the customer will benefit from.

So when looking at the race for Governor of NJ, I'll be going with the SALESPERSON that has the VISION to delivery!

From one fellow to New Jerseyan to another, it's time to stop the pain and blame game with our New Jersey Government!

What have the Democrats or Republicans done in the state of New Jersey for the last 20 years! Besides raising property taxes to the roof!! Blame and point the finger all you want, it's the officials that we keep re-electing thinking CHANGE will happen! Well, sorry to say, it WON'T with Christie or Corzine, two peas in a pod and both with heavy favors that they'll owe once they are elected!

What's the definition of an IDIOT? A person who keep doing the same thing over and over again!!

New Jerseyans for ONE TIME, get a set of BALLS and vote for neither Corzine or Chrsitie. From what I've read, DAGGETT has a plan in place (even if it is a tax plan, at least it's a plan), Corzine is so entrenched with tax and spend and Christie just doesn't strike me as a man who can change New Jersey.

Hey, NEW JERSEY needs to change and quickly, loss of jobs, loss of income, reduction of income, lower property values, etc...

I for one WANT TO LIVE IN NEW JERSEY!!! I DON'T WANT TO MOVE!

However if either Christie or Corzine is re-elected we've just sealed our fate for NO Change for another four years. Can your family afford another fours year of this??

This election can also send a message to the US that New Jersey will take the lead in moving away from the traditional republican or democrats who spend, and waste our tax money!!!

We need taxes to bail out the state, however there are some powerful unions in the state that need to chip in and do their part in helping the State of New Jersey!

Why does NJ spend MONEY to advertise the Lottery?
Why does NJ spend MONEY to air the Lottery on TV?
Why are their 50 Different Scratch off games, what, one's not enough? Who gets the cool graphics and ticket contracts and what are they costing us?
Raise the alcohol tax
Have a nightclub tax
Lower the cigarette tax, make it lower than NY and PA, and people will come here and buy more tobacco, how much revenue is lost to Delaware and PA!!!!
Legalize and create a Sin Tax for Marijuana (CA did it), and tax the hell out of it! Let's face it, if we don't find an alternate revenue stream we're sunk.
Legalize Slot machines in Horse Tracks
Legalize Sports betting

Some of you will say OMG, we can't do this or that, however, you tell me, how the heck NJ is going to get out of the hole for debt and property taxes. It's not possible without additional streams of revenue. Gotten a ticket lately for a broken light, tilted license plate, or something else that's a real pain in the butt, well that's the additional revenue stream for muni's.

CHANGE, CHANGE the way we think,, CHANGE the way we vote and CHANGE the way WE WANT OUR GOVERNMENT and have them ACT Financially Responsible!!!!!!!!

Law Firm Done With Paper


I picked this up this morning, this article goes into depth about a law firm that ditched paper by enaging with E-Copy and a Ricoh Multifunctional Device. Enjoy!

Linarducci & Butler is a busy small law firm, helping clients navigate through the Social Security disability benefit process. Our firm typically has 600 to 800 client cases open at any given time, and client folders for each claim have a minimum of 250 pages of paper -- including medical records and correspondence. It was not unusual in the past for our client files to grow to over 1,000 pages.

Over time, the document volumes from open and closed cases have placed a strain on our firm’s on-site filing system with the office reaching the point where we needed more space to store files. These document volumes also led to the costs associated with document storage becoming our firm’s largest monthly office expense.

But we had more than a document storage problem -- our firm also had a document access issue. Client folders contain information our attorneys and legal assistants need to access quickly in response to telephone inquiries from clients and the Social Security Administration. Too often, people would go to the file room and the folder they were looking for was not there. And this would trigger a time-consuming search around the office to locate the missing information.

As one possible solution for reducing the amount paper in the office, the firm looked into document scanning outsourcing for some files but found those services to be costly. Plus, we did not want to have client documents unavailable while out of the office for scanning in case the documents were needed to address an inquiry.

AUTOMATING PAPER-BOUND PROCESSES

To reduce the demands on the office filing system and gain faster, electronic access to client documents, we made a bold decision: our firm was going to scan incoming mail and faxes, route them using office e-mail and work electronically. The firm turned to eCopy ShareScan document imaging software operating on our network-attached Ricoh multifunction peripheral.

Now, all incoming mail and faxes are scanned and sent directly to electronic client folders using eCopy Quick Connect, software which provides an intuitive, menu-driven approach at the MFP to store documents in a specific file location on our network and, at the same time, capture the associated metadata (information about the document that helps us find it when we search).

Also, the document imaging software allows whoever is scanning to preview the scanned document at the MFP to check for quality. This capability not only improved document integrity but it also saves time wasted on going back to the desktop to review scan jobs and then needing to return to the MFP to rescan any errors.

To further accelerate the document capture process, we added eCopy Barcode Recognition Services to automatically separate and name each document when we scan a batch of documents all at once. A batch can be multiple pages of a medical record or client correspondence received into our office.

Before scanning, the user adds cover sheets with barcodes generated by our database to separate each document in the batch. Then, the document imaging software uses barcode recognition to automatically index the scanned documents to the appropriate client folder.

We found standing at the MFP scanning and naming documents to folders was time-consuming and error prone. By using barcode recognition services, we can give each document a meaningful name -- not a number -- which makes it easy to find the document.

We are also saving time by using barcodes. For instance, we cut the process for logging in and distributing our incoming mail by at least one hour every day.

MOVE TO A PAPERLESS OFFICE

When we looked at document scanning, we didn’t start with a paperless office strategy in mind from day one. Our top goal was to find a way to access more information, more quickly. Document imaging software helped us address that challenge -- and because it is so easy to use, we evolved in how we utilized the software and one day we realized we were paperless.

Our staff has welcomed the move to a paperless office because their volume of cases is easier to manage electronically. Now, they no longer need to worry about searching for missing files. And, for the first time, the firm is getting rid of filing cabinets and reclaiming office space.

Also, having the documents in electronic formats means multiple people can access and view the same document simultaneously -- as opposed to making additional paper copies.

Even our firm's senior partner -- who is like most attorneys -- a hoarder of paper -- has also embraced the change. Now, he can view the same information whether in the office or at home preparing for a hearing.

Clients have also embraced our paperless change. For clients that are PC-literate, we now return their case files back to them as PDF documents on a disc instead of stacks of paper. Our paper files that could easily grow into over 1,000 pages, now commonly have less than 25 pages total when the file is closed.

Managed Print Service for Printer Fleets?

The hype around Managed Print Services is deafening! Everyday I'm coming across information about how good it is to have a Managed Print Service Program, well..... it's great for the provider of the program and may or may not be right for every client.

I have no idea how many laser printers or inkjet printers are sold every year to commercial businesses. What I do see, is a multitude of printers in the commercial work place, in some businesses there is one for each employee!


1. Do I need a Managed Print Services Program for my Fleet of Printers? False.... What you need to do is eliminate most of these printers and strategically replace them with work group Multifunctional Systems or Multifunctional Devices (Same thing, a digital copier that will print scan, fax and copy). You will lower your cost per page, produce less paper, and increase productivity! The Office Equipment Dealers can then monitor page usage, supply levels, and service from a remote location. In essence they will manage your fleet of MFP's while reducing your cost per page and increasing your IT productivity. This will ease your pain!

2. Can I increase my IT departments productivity and save money? True (somewhat)... but you won't save as much if you eliminated the fleet of printers and went with MFP's. You could also stand to save a bundle buy reducing the energy needed for all those laser printers.

3. Can they really provide excellent service, provide parts and support for all my fleet of printers? True and False
False; especially if your fleet has multiple models from multiply manufacturers. In my 29 years in the field, I've only seen a handful of accounts that had printers from one manufacturer. Nine times out of ten, it's a hodgepodge of different models and different manufacturers. HP, Epson, Lexmark and the rest will not give tech support nor parts support to non-authorized resellers.
True; If all of your printers are from one manufacturer and the company that is offering the Print Managed Program is an authorized service provide, then they will be able to support these systems. The goal for the provider is to get their systems in place, and most likely when a printer fails they may replace it or sell you one that they can provide support for.
Basically, if you don't have the time to manage your printers and you can't replace them with MFP's, then you may be the right candidate for a MPS program. However, if you do your homework, you will have a greater return on your investment by eliminating printers. For some this may be a hard pill to swallow. But there are really some incredible print features that will take the printing pain away, such as secure print, locked print, print2mailbox, hold print, store and hold print.
Take the time to investigate what options are out there and don't jump at the first option that is proposed. Have an analysis done of who prints what, when they print, how much they print, and what types of media that is required. If you do that you'll be able to make the right choice.

The Cost of Paper Documents


There are so many reasons to not pay attention to the cost of producing and managing documents today. After all, with sales down dramatically and the economy horrible,
You just don’t have time to pay attention to things like ink and toner costs or how long it takes your HR department to locate a personnel file from 2 years ago. Never mind the fact that according to Gartner that it can cost up to 15% of a business’ total annual revenues to produce and manage documents. 15%!!!

Gartner has also stated that those companies that develop and implement a document management strategy can save up to 40% of those costs. So…if your company does $1,000,000 in revenue per year, not paying attention to how your company produces and manages documents can be costing you up to $60,000 per year…got your attention now? How much revenue does your company have to generate to earn $60,000 in gross profit?

The nice thing is that whatever the size of your company, taking a close look at those costs can save you money, improve productivity and reduce risk. Simply things like right-sizing your multi-function copier can help. Erasable Paper Coming to a Store Near You!

It may sound the stuff of schoolboy spy games, along with invisible ink and newspaper eye holes, but erasable paper is a reality set to come to a workplace near you.

It’s a move that would appease the green lobby, as the ‘paperless office’ idea that has been so widely touted over the last 30 years increasingly looks like a myth. The average US office worker, for example, gets through 10,000 sheets of copier paper in a year.

What has changed, though, says Xerox, is the way we use paper – mostly for display rather than long-term storage. Much office paper is destined for the recycling bin in a startlingly quick turnaround time, at least 20 per cent of it the same day it was printed out.

This idea that has its roots in 1970s research into recycling computer memory housing unused data, and now Xerox Research Center of Canada and the Palo Alto Research Center, California, are joining forces on the project.

Xerox has filed a patent on the system for ‘photosensitive’ paper, which uses a similar technology to that which allows some sunglasses to darken in strong light.

Essentially, supplementary hardware is attached to a standard laser printer, and the system uses no toner. Instead, a blue UV-light emitting diode produces compounds which change colour when they absorb certain amounts of light. The result is a low-resolution document with printed information which disappears within 16 hours.

Increased exposure to light can make the information vanish more quickly, as can popping it back in the copier. After around 50 uses, the paper can be put in the recycling bin in the usual way.

It’s an especially eco-friendly invention since the system only uses 1,000 joules per sheet, or the same amount of energy as running a 60 watt lightbulb for 30 seconds. It can be used in a separate printer, or one combined with conventional printing. The innovation uses purple ink, and the paper is yellow so that it stands out.

Xerox is finalising the system and hopes its dream will be a reality in offices in the next couple of years and already their invention has been shown off at events like WIRED Next Fest, a showcase of global innovations. So far, the firm has also received warm feedback and strong interest in the project.

But, with Sony chasing a similar idea, and Japanese researchers at Ricoh having looked into this in the 1990s, Xerox will need to work hard and work fast before a competitor steals its thunder.

Small business multifunction copier



Below is a question that was posted on CNET. I took the time to answer the post on CNET. Here's the link for the entire thread small business multifunctional copier.

We would like to purchase a color/b&w copier for under $1000. Estimating 2500 b&W, 1000 color copies/day. We don't need alot of whistles just volume. Any suggestions. Also where can I find cost/page info for comparisons?


Here's the real scoop, if you get a machine for under $1,000, here's what you can expect based on your volume.

1. Color per page cost at .20 cents per page based on 20% coverage of the page. That means you'll spend $200 per month for color supplies!
2. Black per page cost at .03 cents per page based on 5% coverage of the page. That means you'll spend $75 per month for black supplies!
3. Within two years or less the machine will be worthless and probably be down more often for consumable supplies and maintenance than its running.
4. If this device could last 5 years you would spend $16,500 for a $1,000 system.
5. You would probably replace the system every year, because systems under a $1,000 are not built for that capacity.

Now here's what you should do:

1. Lease a larger machine ie: Ricoh mp c2550 for under $120 per month
2. Black per page cost is .015 with on-site service, means you'll spend $37.50 per month for supplies and maintenance.
3. Color per page cost is .10 or under with on-site service, means you'll spend $100 per month or less for supplies and maintenance.
4. System will be faster, have better reliability, plus add additional features which may stream line your business process.

Summary: That $1,000 system will cost you $275 per month in supplies only and will not last the year. In 12 months you'll need another, here you must also amortize the cost of the $1,000 system over 12 months which equals $83.33 per month. So your TCO (Total Cost of operation) is $358.33 per month. Moving to a larger unit such as the Ricoh MP C2550 your total monthly cost with supplies, on-site service and lease is $257.50. That's more than $130 per month in savings. Keep in mind that if your volume increases so do your costs. If your volume increases at 10% per year for 5 years your savings could be well over $300 per month.

Don't let the small investment price fool you, you need a larger system to meet your needs. Please also keep in mind that the cost per page for the Ricoh device may vary from dealer to dealer and geographical location, the cost per page is only an average of what I have seen in the industry for this device.

The Cost of Documents

Okay, you just brought in a new client, great! It's smooth sailing from here. But stop for a moment and think, the proposal, the billing statements, the service records...those are all necessary and lord knows you need to keep records.
I have a question for you; have you ever thought of the cost of documents, and I just don't mean the cost to put the toner on the paper. Let's look at some statistics:

While searching the web, I've seen many web sites/aka message boards that cater to technicians, along with many sites having information pertaining to multifunctional systems. But, there is not one site that is dedicated the industry as a whole, merging end users and industry support people. Oki Announces Price Busting Color 11x17 System



Below is the Press Release from Oki. I had heard about this system coming to market, and considering price point and features this should be an awesome system for the AEC market place.

Oki Data Americas Tuesday unveiled the MC860 A3 color MFP series, a new set of A3 color multifunction printers Oki Data says are comparable in capability and price to many competitors' A4 printers.

"What we heard most was 'costs,' " said Mike Garofola, senior marketing manager for color products at Oki Data Americas, in a ChannelWeb briefing. "The size is a nice point as well, but people are looking for an affordable solution that allows them to bring an A3-type of device into their [infrastructure] and the consolidation that comes with not having multiple devices."

Oki Data's new MC860 A3 color MFP series is targeted at businesses seeking a color MFP that can provide both A3 and A4 capabilities. Among many features, the MC860 harnesses HD color technology (including 48-inch banner support); allows full print, copy, scan and fax capabilities; offers print/copy speeds of 26 ppm in color and 33 in monochrome; can scan to USB Flash Memory, PC, fax, FTP, folder and e-mail; and has a duty cycle of 75,000 pages.

The MC860 series comes in three models, including a desktop standing model starting at $3,999 (400-sheet paper capacity); a floor standing model with one tray and cabinet, starting at $4,459 (930-sheet paper capacity)' and a floor standing model with two trays and a cabinet, starting at $4,739 (1,460-sheet paper capacity).

"We do have other A3 color MFP series," Garofola said, "but before they were only sold exclusively through our BTA [business technology alliance] channel and are more of a copier-based product that competes with other copier-based MFPs. This is the first tabloid A3 color MFP we've really designed for the 'Comdex' channel."

The MC860 series MFPs will be made available at the end of January through all of Oki Data's North American channels. Oki Data is targeting the MFPs especially at medium workgroup users and space-reliant, cost-dependent verticals such as education, manufacturing, retail, finance and life sciences.

"Print has surpassed copying in terms of functionality, but people are also looking to have more affordable output," Garofola said. "They're doing a lot more scanning, for document management. And while faxing is the function that's used least, when you do need it you have to have it. From a legal standpoint, a fax is still a legal document as opposed to a scan, and still very viable."

Garofola said to expect additional MFP announcements from Oki Data later in the year.
